Marketing Acccounts Administrator - Harrogate
To administer claims and submissions within vendor portals,
working with the respective marketing managers. To effectively manage, monitor and report on the entire marketing budget,
which predominantly includes vendor marketing development funds (MDF).
KEY RESPONSIBILITIES
Duties
will include,
•Administration of all
marketing supplier invoices that come into the company for marketing activity executed by member of the team. All invoices
are checked against the MAF system (MAFs are the marketing department’s process for creating a Purchase Order).
All invoicing (i.e. spend) is checked against each of the activities held within the MAF system and tracked via the Marketing
Activity Trackers to ensure it balances with the company nominal ledger.
• Creation of purchase orders and understand how the system/process works for the creation
of “Non-stock Purchase Orders” for use in the Marketing Department where required.
• Monitor and track the budget of each of the vendors and central company
marketing spend on behalf of the Marketing Director to ensure she has regular reporting and clear visibility of spend/claims
for each of the marketing managers. This will also include a close relationship with accounts as they log all of the
receipts we receive for marketing spend.
• Administer
the marketing invoices where required and manage the invoice raising procedure with accounts to ensure all monies are claimed
in the correct time period and support credit control in collecting the cash through relationships with vendors.
• Work closely with the Finance manager currently
looking after reporting of marketing spend/accrual in the overall budget to ensure consistency and accuracy on a monthly basis.
• Working with each of the marketing managers, ensure
all claims are put onto the relevant vendor systems where required with all of the correct supporting materials i.e. copies
of invoices, leads, direct marketing materials and ROI.
• Produce
comprehensive reporting to show forecasted spend, actual invoices received to date and claims made against the marketing budget
by division.
• Monthly budget reviews with each Marketing Manager to review where they are against the budget
and highlight any issues or concerns.

individual with a minimum of 2-3 years finance experience gained in a commercial environment. Previous experience of
marketing.

HOURS OF WORK
The company’s standard hours of work are 9.00am –
5.30 pm with one hour for lunch.

rising to 25 with length of service and life assurance 4 x basic salary.
